Read the latest reply first
Check whether the recipient asked a question, requested a later conversation, declined, or described a different need. That changes the next step. Do not use a generic follow-up as a substitute for answering what they actually said.
Record the promise and the date together
Keep the requested action beside its follow-up date. “Send an example of a project brief next week” is more useful than “follow up.” In Leads That Bloom, research, drafts, replies, and follow-up dates stay with the same prospect record.
Use a suggested reply as a starting point
Claude can help prepare suggested replies and call briefs from the available context. Check that the response answers the person’s actual question and does not make a new promise your team cannot keep. If context is missing, return to the original thread before approving the wording.
Prepare for the next person to pick it up
Before a call, collect the business context, relevant website observations, the recipient’s stated needs, and unanswered questions. After the conversation, keep a specific next step and owner. Respect a request to stop contact rather than treating it as another follow-up opportunity.
Review checklist
- Latest reply and what the recipient asked
- Promised action and responsible person
- Follow-up date with its reason
- Relevant findings and unanswered questions
- Contact restrictions still respected
Illustrative example
An illustrative next-step note
The prospect asked to see what a project brief would include. Next action: prepare a small example for their type of project. Owner: the person handling the conversation. Before sending: check that the example reflects their reply and makes no unconfirmed performance claims.
Common questions
Does a follow-up date mean a message was sent?
No. A saved reminder or prepared draft is not delivery confirmation. Keep those states distinct.
